Terms of ServicePrivacy PolicyRefund & Cancellation Policy

This policy explains what Robert Conklin, doing business as CourtFlow (“CourtFlow,” “we”) collects through courtflowconnect.com and the CourtFlow Events WordPress plugin, why, and who helps us process it. We collect as little as we can to run the service. We don’t sell your information, and we don’t use it for advertising.

The short version

  • Your CourtReserve API username and password are stored only in your own WordPress database. They are never sent to CourtFlow’s servers. The plugin uses them to talk to CourtReserve directly from your site.
  • The plugin sends us only your license key, your site’s address, and version numbers, so we can check your license and offer updates.
  • Your card details go to Stripe, not to us.
  • We use Google Analytics and Cloudflare Web Analytics on our marketing pages, not on sign-in or account pages.

What we collect on this website

Your account

  • Email address. We use it to create your account, send your license key and download link, and send sign-in links. We don’t use passwords; you sign in with a one-time link we email you.
  • Sign-in records. When you request a sign-in link we store a scrambled (hashed) copy of the link’s code, your email, the time, and the IP address the request came from. Links expire after 15 minutes. We use this to keep sign-in secure and stop abuse.
  • License records. We store your license key only in scrambled (hashed) form, along with its first few characters so you can recognize it, its status, and the first and most recent website address it was used on.

Billing

Checkout and billing are handled by Stripe. Stripe collects your card details and billing information directly; we never see or store your full card number. Stripe tells us your customer and subscription IDs, which plan you’re on, and whether your subscription is in trial, active, past due, or cancelled. Stripe’s use of your information is covered by the Stripe Privacy Policy.

Analytics

  • Google Analytics 4. On our public pages we use Google Analytics to understand how people find and use the site, including whether they start or cancel checkout. Google Analytics uses cookies and receives information about your browser, device, approximate location, and the pages you visit. We send page addresses without query strings, and we don’t load Google Analytics at all on sign-in, account, or API pages. You can opt out with Google’s browser add-on. See how Google uses this data.
  • Cloudflare Web Analytics. Cloudflare, which hosts this site, counts page views without cookies and without tracking you across sites.

Cookies

  • Sign-in cookie (required): keeps you signed in to your account for up to 30 days. It’s cleared when you sign out.
  • Short-lived notice cookie (required): shows a one-time message on your account page, then expires within 5 minutes.
  • Google Analytics cookies (analytics): set only on public pages, as described above.

Other things your browser sends

Like any website, our servers see your IP address and browser details when you visit. We use IP addresses briefly to limit abusive traffic. Our pages load fonts from Google Fonts, so Google also receives your IP address when you visit.

What the plugin sends us

The CourtFlow Events plugin runs on your WordPress site. It contacts courtflowconnect.com only to check your license and look for updates. Those requests contain:

  • your license key,
  • your site’s address, and
  • the plugin version and WordPress version.

WordPress also includes your WordPress version and site address in the standard identification header on every request it makes. We store the site address on your license record (see above) and use the rest only to answer the request.

Your CourtReserve API username and password are stored only in your own WordPress database. They are never sent to CourtFlow’s servers. The plugin sends them straight from your site to CourtReserve to fetch your events. Event information from CourtReserve also goes straight to your site and doesn’t pass through us.

Who processes data for us

  • Stripe — payments and billing.
  • Cloudflare — website hosting, database, file storage, security, and cookieless analytics.
  • Resend — sending sign-in, welcome, and license emails.
  • Google — Google Analytics and Google Fonts.

We may also share information if the law requires it, to protect our rights or our users’ safety, or with a buyer if CourtFlow is sold (in which case this policy would still apply to your information).

How long we keep it

We keep your account and license records while you have an account. After your subscription ends we keep billing and account records for as long as we need them for tax, accounting, and legal reasons, then delete them. You can ask us to delete your account sooner; we’ll delete what we’re not required to keep. Stripe and Google keep data under their own policies.

Your choices and rights

You can ask us for a copy of your information, to correct it, or to delete it, by emailing [email protected]. Depending on where you live (for example California or the EU/UK), you may have further rights, and we’ll honor them. You can block or delete analytics cookies in your browser at any time; the site still works without them.

Children

CourtFlow is a business tool for clubs. It isn’t meant for children under 16, and we don’t knowingly collect their information.

Changes

If we change this policy, we’ll update the date at the top. If a change is significant, we’ll email account holders before it takes effect.
